Privacy Notice

This notice explains how personal data is handled when you use the Eco-Fleet website, contact form, email or optional chat.

Hosting and server logs

The website is hosted by Hosting.de GmbH on server infrastructure in Germany. Nginx access logs use combined logging and record the client IP address, request, response status, referrer and user agent. Logs rotate daily; 14 compressed rotations are retained.

The legal basis is Art. 6(1)(f) GDPR: our legitimate interest in a secure, reliable website.

Still to verify: the applicable hosting processor agreement.

Contact form and email

If you contact us, we process the information you provide, including your name, email address, company, website, message, selected request context and optional attachments, to answer and manage the request.

The legal basis is Art. 6(1)(b) GDPR for pre-contractual or contractual communication and Art. 6(1)(f) GDPR for other business communication. Where required, Art. 6(1)(c) GDPR applies to legal retention duties.

Website submissions are sent server-side to info@eco-fleet.org. The site does not present a successful submission until the configured mail service confirms delivery.

Launch configuration required: identify the production SMTP/email provider, processing location, processor agreement and operational mailbox deletion policy.

Optional Crisp chat

Crisp is an optional chat service. It is not loaded until you enable chat in the privacy settings. If enabled, Crisp may process identifiers, device and connection data, the current page and request context, and the messages you choose to send.

The legal basis for loading Crisp is your consent under Art. 6(1)(a) GDPR and, where applicable, § 25(1) TDDDG. You can withdraw consent at any time through Cookie settings in the footer; withdrawal does not affect earlier lawful processing.

Launch configuration required: add the verified Crisp legal entity, data-processing agreement details, processing locations, international-transfer safeguards, subprocessor reference and chat retention period after the production workspace is configured.

Local storage, cookies and similar technologies

The site stores your privacy choice locally under ecoFleetConsentV1. When you intentionally start a vehicle-sourcing request, a one-time draft may be stored in session storage under ecoFleetContactDraft and removed after it is transferred to the contact form.

These essential browser-storage operations support requested functions and privacy control. The legal basis is Art. 6(1)(f) GDPR and, where applicable, § 25(2) no. 2 TDDDG. Optional Crisp storage is used only after consent.

No analytics or advertising trackers are implemented in this V1 website.

Recipients, processors and international transfers

Personal data is accessible only where needed to operate the website and respond to requests. Production hosting, email delivery and optional chat providers may act as processors.

Data is not transferred outside the EEA unless a valid GDPR transfer mechanism and appropriate safeguards apply.

Launch configuration required: replace this policy-level description with the verified production provider list and applicable transfer safeguards.

Storage periods

We retain contact data only as long as needed to handle the request and any resulting relationship, and longer only where statutory retention or legal-claim requirements apply. Privacy-choice storage remains in the browser until it is cleared or replaced.

Launch configuration required: approve concrete operational retention and deletion schedules for contact email, attachments, server logs and Crisp conversations.

Your rights

Subject to the legal requirements, you may request access, rectification, erasure, restriction, data portability, or object to processing based on legitimate interests. You may withdraw consent at any time with effect for the future.

To exercise these rights, contact info@eco-fleet.org. You also have the right to lodge a complaint with a competent data protection supervisory authority.
